Searching for a Sales Assistant who can offer reliable support and collaboration for 3-4 different sales teams within assigned territory and help improve efficiency of the territory as sales volumes increase. Assisting in analyzing and resolving problems that may arise within the territory with customers and sales reps.

Your collaboration

  • Transport Automation & Pharmacy Automation Sales Administrative Support:
    • Validating Bid requests that come in to you through phone/fax or email and then turning those in to an opportunity in Salesforce & assigning to the correct sales rep.
    • Updating and or creating opportunities in Salesforce for the reps in your territory specific to new and renewal opportunities. These include but are not limited to:
      •  Downloading bid documents/Request for Proposals (RFP)for construction   projects & ensuring there is scope of work.
      • Creating opportunities for Time and Materials requests that come through from Project Mgrs.   and/or Sales reps.
      • Creating the engagement/estimating request based off of the prior booking sheet data.
    • Bid documentation process for Construction to keep process on track:
      • Check all addendums sent by GC to see if changes affect PTS work and notify the apps and sales teams.
      • After initial download, following up on Bid proposals and changes for projects & maintaining those on our internal folder files
      • Ensuring that insurance requirements are met and contracts reviewed in the appropriate time with legal.
      • Assist in putting together a System Design Analysis review binders for the construction reps in your territory when needed.
      • Collaborate with the outside reps as well as the apps engineers to ensure that all proposal documents are legally valid, meet all signatory obligations prior to submitting. Essentially keeping everyone on track with Bid Addendums and sign offs.
      • Ensuring your territory sales team calendar is up to date with bid due dates and bid documentation along with the apps engineers.
      • iRun Tube Tools to obtain customer configuration files and file in SF.
    • Collaborating with the sales reps to prepare their proposals when asked and ensure they are using the correct GPO/IDN relationship and proposal template.
    • Supporting the Sales reps, other sales assistants and Apps engineers to process the monthly booking notifications.
    • Deliver best in class service to current and future customers in your territory that ask questions pertaining to a specific project, how to place orders and quotes, how they can speak with an outside or inside rep.
    • Based on your territory needs Generate reports including:
      • Open opportunities or closed/lost, closed/won.
      • Snapshot reports for customers out of our database
      • iOpen opportunities that have not been acted on
    • Research & obtain Certificate of Need for new construction projects on a monthly basis and submit them as leads/opportunities in Salesforce.
    • Assisting the construction reps with project mailings associated with AIA conferences.
    • Collaborate with the Solutions marketing team to pull data analysis for reverse expo trade shows.
    • Interdepartmental support that may arise:
    • Assisting team members in how to pull configurations.
    • When new outside reps start with Swisslog, collaborate with the Sales Enablement team during their onboarding process so they understand how your role will support them.
  • CRM Administration:
    • Responsible for working on data input, data integrity and maintenance in Salesforce. Collaborate with the sales enablement team to expand your learning about generating reports, editing and cleaning up tasks/leads, updating SSR’s in your territory.
    • Ensuring that all proposals and supporting documentation is in an opportunity.
    • Collaborating with your sales reps to ensure that you are keeping the contacts up to date in Salesforce on the account pages.
  • SAP Administration:
    • The ability to navigate through our database to look up contracts, information about accounts if needed.
    • Pulling reports and analyzing for reps accounts when asked and know how to read the reports.
  • Performs other duties, as assigned by manager and the opportunities to learn about other processes that may help you in your daily tasks. This could include but not limited to learning how to estimate and get further training on reading bid document drawings.
  • Identify stations for apps in life safety drawings once plotted to facilitate process when needed.
    • Submit Request for Information (RFI) to the General Contractor(GC) to see if changes affect PTS work & Notify apps and sales teams.
    • Put together ship performance Report Binders for sales team.
    • Plot/Print drawings in AutoCad and submit to project managers, support engineers, installers, techs and sales team.
    • Scan incoming markups from fitters or applications for drafters to update asbuilts for sales team.
  • Collaborating with the Finance team to get the sales portions of the prequalifications filled out in a timely manner as this is instrumental in getting projects started and/or closed.

Your competence

  • Bachelor’s degree preferred.
  • Proficient in Microsoft Office (Word, PowerPoint, Excel)
  • Experienced in SAP & or another CRM system
  • Ability to utilize Internet search and reporting functions
  • Strong organizational and time management skills.
  • Must be PC literate, working knowledge of Microsoft tools: Office, Word, Excel
  • Exceptional interpersonal communication skills, both written and verbal for the phone are required.
  • Ability to listen carefully to customers and team members to understand their needs and concerns in order to resolve the issue as efficiently and effectively as possible.
  • Self-motivated and goal oriented with a desire to learn.
  • Ability to work independently while in a sometimes loud but fun team environment.
